Welcome New Joiners to the Clique Research Cluster Group

Congratulations! on joining Clique. Clique's Principal Investigators and Researchers are based in several locations around UCD,Dublin and DERI, Galway. In order for you to be up and running as soon as possible, it is important that you confirm where you will be based from your Principal Investigatior and follow the steps below accordingly:

UCD, Dublin-based Postgraduate/Postdoctorate/Visiting Student Researchers

For postgraduate/postdoctorate researches signing up for with Clique in UCD, the following information will be required (Note that postdoctorate researchers are employed as staff members):

Visiting students are not required to provide this information

Information Required:

1. Personal Contact Details - Name, address, phone number
2. RSI/PPS No.
3. Bank details
   -    Sort Code and Account Number.
   -    Name and address of the bank branch.
4. Previous UCD Student No.
   -    Only if you have studied at UCD before (if known)
5. All previous academic qualifications
   -    Name of all degree and institutions
6. Superannuation Details - For staff researchers only

Note1: There is no longer a need to provide a photocopy of Birth Cert or Passport as is stipulated in the Student Record Information Form except for visiting students.

Note 2: Information on obtaining a RSI/PPS No. (if you dont already have one) can be found here.

Note3: Some forms ask for Personnel Number (for staff members)/Student Number (for new students to UCD). These numbers are issued only after the candidate is approved and internally setup. However, it is possible to fill out the forms below in advance of receiving these numbers.

Project Manager/Supervisor will provide the following information:

1. Your annual amount of scholarship (i.e. your salary)
2. Who is the original funder: e.g. Science Foundation Ireland (do not use acronyms)
3. Start date and end date of your studies –  3-4 years duration
4. The name of the school you will be attached to, for example, if you are alligned with Computer Science: 
   -    College: EMPS
   -    School: School of Computer Science and Informatics (CSI)
5. Address of the university
   -    UCD, Dublin, Belfield, Dublin-4
6. Address of your Sponsor
   -    Science Foundation Ireland, Wilton Park House, Wilton Place, Dublin 2
7. Cost Centre Number
8. Project A/c No for the funding

Forms to be partially filled in by Researcher/ Visiting Student:

1. Scholarship Exemption Declaration Form - For Postgraduate researchers/ Visiting Students only
   -    Needed by the Revenue Commissioners for tax exemption purposes
   -    Nature of Degree: Full Time PhD Programme
   -    Hours of Attendance: 40 Hours Per Week
   -    Name and address of sponsor: As Above
2. Payroll Set Up Form - Research Scholarships - For Postgraduate researchers/Visiting Students only
   -    PPS No, Bank Details, etc. (Note that Visiting Students are not required to get a PPS No. or setup bank account to get paid through UCD, in which case a cheque will be issued on the last banking day of the month)
3. Student Record Information Form - For Postgraduate researchers only
   -    Required to setup a Student on the UCD System. Should lead to the issuing of a UCD Student   Number/Student Card
4. Employee Setup Form - For Staff (Postdoctorate) researchers only
   -    Required to setup a Staff member on the UCD System. Required: Superannuation Details, Bank Details, PPS No, Personnel No.
5. Staff ID Card Application Form - For Staff (Postdoctorate) members only
   -    Required to get a UCD Staff Card. Required: Head of School Signature, Lenght of Contract, etc.
6. Visiting Student Setup Form - For Visiting Students only
   -    Photocopy of Birth Certificate or Passport Personal Pages.

Forms to to be partially filled in by Researcher/ Project Manager/Supervisor:

1. Template for Approved Graduate Applications for the Graduate School Board - For Postgraduate researchers only
   -    Template to be filled in for approval by Graduate Board. To be sent to Patricia Geoghegan
   -    The identity of the Doctoral Panel Members and the Chair
2. Scholarship Authorisation Form - For Postgraduate researchers/ Visiting Students only
   -    The forms will often mention ‘Project Manager’ or ‘Account Holder’ or ‘Programme Director’. For Clique this is Prof. Padraig Cunningham. Includes Funding details, start/end date, etc
3. Administrative Services – Fees & Grants: Internal Transfer Form - For Postgraduate researchers only
   -    This form is required to transfer funds from the Clique A/C to UCD and will be used to pay graduate fees (paid by Clique).
   -    Cost Centre No, Research Account No, Signature of Account Holder: Prof. Padraig Cunningham
4. Research Authorisation Form - for Staff (postdoctorate) members only
   -    This form is required to obtain approval from various sources before an offer can be made. Signatures Required: Principal Investigator, Head of School, College Principal/VP, Research Finance Officer Accountant, HR Officer.
5. Contract for Research Funded Staff - for Staff (postdoctorate) members only
   Contract to be filled out and sent to the College Office. Signed by UCD HR.

Please fill out all forms in as much detail as possible and return them by post to the Research Cluster Manager, Clique, UCD CASL, 8 Belfield Office Park, Beaver Row, Clonskeagh, Dublin. Note that due to original signature requirements, electronic copies cannot be accepted.
